Your Boots on the Ground: Building a Louisville Real Estate Team When You Live Out of State

Ask any investor who's lost money buying out of state what went wrong, and you'll almost never hear "the market." You'll hear about a contractor who disappeared with a deposit, a property manager who stopped answering, or an agent who sold them a house they'd never have bought if they'd seen it in person.

Long-distance investing is a team sport. The good news is that the team already exists here. We've spent years building relationships with lenders, title companies, inspectors, general contractors and property managers, and we plug our out-of-state clients, from individual investors to hedge funds, straight into that infrastructure.

The eight people you need

1. An investor-savvy agent

Your agent is your eyes. They should walk every property you're serious about, tell you the truth about it, know what it will actually rent for, and know which contractors to call for a bid. They should also be able to find deals that never hit the open market. That's our job, and it's the role we take most seriously.

2. A lender who closes for out-of-state and foreign buyers

Not every lender does. You want one who knows DSCR loans, portfolio lending, and, if you're international, foreign national programs. See our investor financing guide.

3. A title company or closing attorney

They handle the title search, title insurance, closing documents and the money. You want one that does remote closings regularly and has a tight process for verifying wires. See our remote closing guide.

4. A home inspector

A thorough inspector who sends photo-heavy reports is worth every dollar when you can't see the property yourself. For older Louisville housing stock, ask about sewer scopes, electrical panels and foundations.

5. A general contractor

This is where remote investors get hurt most. You want a contractor who gives written, itemized bids, sends photo and video progress updates, and gets paid in draws tied to completed work, never large upfront payments.

6. A property manager

The most important long-term hire you'll make. Interview more than one. Ask how they screen tenants (and how they stay compliant with Fair Housing law), how fast they respond to maintenance calls, what they charge for leasing and renewals, and what their monthly owner report looks like. 7. An insurance agent

Landlord policies aren't homeowner policies. You need the right coverage for a rental or commercial building, a flood check on every property, and probably an umbrella policy.

8. A CPA who knows real estate

How to vet people from 2,000 miles away

  • Get referrals from someone who has worked with them, not just online reviews.
  • Check licenses. Kentucky and Indiana real estate agents are licensed by the state, and contractors should carry insurance you can verify.
  • Start small. Give a new contractor a small job before a full rehab.
  • Ask for proof. Photos, videos, receipts and lien waivers, every time.
  • Watch response time. How fast someone responds before you've paid them is the best they'll ever be.

How to manage your team remotely

  • One shared folder per property: purchase documents, inspection, insurance, leases, bids and invoices.
  • Photo and video updates at every rehab milestone before releasing a payment.
  • A monthly owner statement from your property manager, and a quick call each quarter.
  • An annual walkthrough, by you or by us, to catch deferred maintenance before it becomes a capital expense.
  • Clear spending limits: your property manager should know the dollar amount above which they call you first.

Working across time zones

If you're on the West Coast, our morning is before your workday starts. If you're overseas, much of your team's work happens while you sleep, which is actually useful: you go to bed with a question and wake up with photos and an answer. We keep communication in writing so nothing is stuck waiting on a phone call, and we schedule live calls when they work for you.
